When should I register for ReadySub and familiarize myself with the website?
Please register and watch the tutorial videos as soon as possible. Familiarizing yourself with ReadySub before you need to use it will increase the likelihood of having a successful substitute experience and decrease your stress when you need a substitute. Leilehua will be able to troubleshoot over the phone, or meet with you if necessary.
Who do I notify if I need a substitute in the middle of the school day due to an illness or emergency?
Please call Leilehua at (808) 321-8181 to arrange for your substitute and call your supervisor to let them know that you will be leaving.
Can I assign a particular substitute for my substitute requests?
Yes, 45 seconds into this tutorial: http://punahoufaculty.weebly.com/how-do-i-request-a-sub.html shows you how to assign a substitute to a particular job. You must prearrange this agreement by contacting that substitute on your own. You may also add up to five substitutes to receive your requests at the same time, and whoever accepts the job first will be your substitute for that day. If none of your preferred substitutes are available, then the system will push out the request to the larger substitute pool to ensure coverage. The 5 favorite substitutes will have 72 hours or until 5 pm the day before the start day (whichever comes sooner) to accept the job. If none of your favorite substitutes accept the job, then the system will push out the request to the larger substitute pool to ensure coverage. If you donʻt pre-arrange a substitute or select any favorite substitutes, the system will automatically notify all substitutes of the job.

How do I request Karen Scales as a substitute and what is her role on campus?
We are very fortunate to have Karen as our full-time substitute this school year to serve our K-8 faculty and students. As mentioned at the K-8 meeting at the beginning of the school year, we will be utilizing Karen’s talents to primarily provide professional development opportunities for teachers including release time to collaborate with or observe other classes, longer term substitute needs, and to provide support for specific K-8 curricular initiatives. She will be utilized K-8, and we will be intentionally sharing her as a resource to maximize her impact on campus. Realizing that her availability may be limited given the scope of her K-8 work, you may request Karen as a preferred substitute on ReadySub, while also having other substitutes on your preferred list. Please do not email Karen or Leilehua directly requesting Karen as your prearranged substitute, as all scheduling will occur through ReadySub to ensure that there are no conflicts within Karen’s schedule.
What materials should I leave for my substitute?
You should leave hard copies of your rosters, schedule, and a substitute plan for your substitute and ideally upload these documents to ReadySub as well. Although it is ideal if you post your roster, schedule, and substitute plans through ReadySub and leave hard copies for your substitute, it is not a requirement that you attach the documents to ReadySub. In the event that you are unable to leave hard copies for your substitute, posting to ReadySub will allow multiple support personnel to access and print your documents. What and when are the “Blackout Periods”?

There are certain periods of the year during which personal leave, vacation leave, and leave without pay, may not be approved due to instructional and/or operational requirements, and which your attendance is considered mandatory. Blackout periods for faculty and staff members of the Junior School and the Academy are defined as:
• First week of instruction
• One (1) day before and after Thanksgiving, Christmas, and Spring vacations
• Grade recording periods (all three trimesters)
• Professional Development or Curriculum Days
• Other periods as determined by the Principal, based on school need.
The appropriate Director/Supervisor determines blackout periods for other employees. Exceptions are approved only rarely, and then, only under very special circumstances.
